PermitIQ — Privacy Policy

This Policy explains what information we collect, how we use and share it, and your choices. It’s part of our Subscription Agreement / Terms of Service.
1. Information We Collect
a) Information you give us
- Account details — your name, business name, and the email address your account signs in with.
- Billing details — handled by our payment processor (see §5). We receive limited billing metadata (e.g., plan, last-four of card, billing status) but do not collect or store your full card number.
- Communications — messages you send us (support, email).
b) Information we collect automatically
- Usage and log data — pages viewed, actions taken, timestamps, approximate location, IP address, browser and device type.
- Cookies & local storage — we use a strictly necessary session cookie to keep you logged in, and your browser’s local storage to remember display preferences (theme, layout, column widths). Neither is used for advertising or cross-site tracking. [If you later add analytics, disclose it here and, where required, obtain consent.]
c) Content you create
- Customer Content — your lead statuses, notes, and follow-ups. This is yours; we process it to provide the Service.
d) Permit Data (includes third-party personal information)
- The Service compiles building-permit records from public government sources and public-records requests. These records can include the names, business names, addresses, phone numbers, and email addresses of contractors and property owners. See §4 for how we handle this and how those individuals can make requests.
2. How We Use Information
We use information to:
- provide, operate, secure, and improve the Service;
- authenticate logins (one-time email codes) and manage user accounts;
- process subscriptions and payments, and prevent fraud;
- respond to support requests and send service and (with your consent where required) marketing communications;
- monitor performance and usage; and
- comply with law and enforce our agreements.
3. How We Share Information
We do not sell your personal information. We share it only:
- With service providers who work on our behalf under confidentiality obligations — for example, cloud hosting (DigitalOcean), network infrastructure (Cloudflare), our payment processor (Stripe), and email delivery (Google).
- For legal reasons — to comply with law, respond to lawful requests, or protect our rights, users, or the public.
- In a business transfer — as part of a merger, acquisition, or sale of assets, with notice as required by law.
- With your direction or consent.
4. Personal Information in the Permit Data (product-specific — read this)
- The Permit Data is drawn from public records, which by their nature contain personal information about contractors and property owners. We present this information to subscribers for legitimate business purposes (identifying and contacting parties involved in construction projects).
- If you are an individual whose information appears in the Permit Data and you wish to access, correct, or request removal of that information, contact us at [email protected]. We will review the request and respond as required by applicable law. Note that we may be unable to alter the underlying public government record, and some information may remain available from the original public source.
- Subscribers are contractually required to use this information lawfully (see the Subscription Agreement, including compliance with the TCPA, CAN-SPAM, and Do-Not-Call rules).
5. Payments
Payments are processed by Stripe, Inc. Your card details are collected and stored by the processor under its own terms and privacy policy, not by us. We recommend you review Stripe’s privacy policy at https://stripe.com/privacy.
6. Data Retention
We keep account information and Customer Content while your subscription is active and for 30 days after cancellation, after which we delete or anonymize it, except where we must retain records for legal, tax, security, or dispute-resolution purposes. Usage logs are retained for 90 days.
7. Security
We use reasonable technical and organizational measures to protect information — including encrypted connections (HTTPS), access controls, per-user email sign-in with one-time codes, and single-session enforcement. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. Tell us promptly at [email protected] if you suspect a security issue with your account.
8. Your Rights & Choices
Depending on where you live, you may have rights to access, correct, delete, or port your personal information, to opt out of certain processing, and to not be discriminated against for exercising these rights.

9. Children
The Service is for business use and is not directed to children under 18, and we do not knowingly collect their personal information.
10. International Users
We operate the Service from the United States. If you access it from elsewhere, you consent to processing in the U.S., where privacy laws may differ from your own.
11. Third-Party Links
The Service may link to third-party sites (e.g., map or government sources). We aren’t responsible for their privacy practices; review their policies.
12. Changes to This Policy
We may update this Policy. We’ll post the new version with a revised effective date and, for material changes, provide reasonable notice. Continued use after the effective date means you accept the updated Policy.
